Fair-use policy

Last updated: 1 September 2026

healcraft is priced per practice with generous allowances rather than meters on everything. This page says what "unlimited" means, what the allowances are, and what happens if a practice goes well past them. It is part of the Terms of Service.

1. One subscription, one practice

A subscription covers one practice: one legal entity at one place of business. A group with several locations runs one healcraft organisation per location. Sharing one subscription across practices is not permitted.

2. Seats are named people

Every seat is a named member of your team with their own login. Shared logins are not permitted — they also defeat the activity log that protects you. Each plan includes 5 seats; an organisation can have at most 20.

3. What "unlimited" means

Patients, appointments and records are unlimited for your practice's own clinical work. They are not a place to warehouse data that isn't yours, to resell access, or to serve other practices.

4. AI documents

AI extraction is the one thing that costs us per use, so it has an allowance: 250 documents per calendar month on Practice and 2,500 on Pro, with a 50-document allowance during the free trial. At the limit, uploads pause until the 1st of the next month or an upgrade — nothing is lost. Unused documents do not roll over. A document may have at most 40 pages. Very fast bursts may be slowed for a few minutes.

5. Storage

Practice includes 25 GB of documents, Pro 100 GB. We do not enforce this automatically today. If a practice goes far beyond it we will get in touch before anything changes, and we never delete your data.

6. No automated access

Bots, scrapers and bulk pulls outside the app are not permitted. Export tools exist so you can hand a patient their record or move your own data — use them for that.

7. E-prescription

E-prescription runs under IDIKA's own terms, using the prescriber's own credentials and subject to IDIKA's quotas. healcraft does not add a limit of its own.

8. If something goes wrong

We talk first. If use is clearly outside this policy we will contact you, then slow the affected feature, and only as a last resort suspend the account. Your data stays exportable throughout. If we ever reduce an allowance, we give at least 30 days' notice, and existing subscribers keep their current allowance for the term they have paid for.
