Catalogue

The practice’s own address book of colleagues, laboratories, hospitals and pharmacies. Find a number quickly, add the people you work with, and mention them in a patient’s notes. Everyone on the team can use it.

Finding a contact

Open Catalogue in the sidebar, under Resources. On a phone it is under More. The list shows every contact of the practice in alphabetical order.

Type in the search box to narrow the list. It looks at the name, specialty, phone, email, city and street, and it ignores accents and capital letters.

The chips under the search box show one type at a time: All, Doctor, Laboratory, Hospital, Imaging, Clinic, Pharmacy and Other.

Adding a contact

  1. Click Add contact at the top of the page.
  2. Type the Name. It is the only field you must fill in.
  3. Choose the Type. A new contact starts as Doctor.
  4. Under Specialty, pick from the list that opens as you type, or keep your own words. The small button beside it gives the contact an icon and a colour.
  5. Add the numbers under Phone, each marked Mobile, Home or Work. Add phone gives you another line, and the cross removes one.
  6. Fill in the Email, the Address and any Notes you want to keep, then press Save.

The Country in the address starts as the practice’s own country. Leave out anything you do not know yet; you can add it later.

Changing or deleting a contact

Point at a contact to show its buttons on the right. The pencil opens Edit contact, where you change any field and press Save. On a phone or tablet the buttons are always there.

The bin deletes the contact. healcraft asks first, naming the contact, and the red Delete button removes it for good.

Deleting a contact changes nothing in the patients’ records. A report that was linked to it keeps the issuer’s name, and notes that mention it keep the name they show.

Contacts from reports

A report in a patient’s Reports tab names who issued it, under Issued by. Beside that name, Add to Contacts saves the issuer to the Catalogue, so nobody has to type it in again.

  1. Open the report and press Add to Contacts.
  2. healcraft checks whether the practice already has that contact, and shows either Link to the existing contact or Create a new contact, with the name and type.
  3. Press Link or Create.

A new contact takes whatever the report carries (phone, address, email, specialty) and shows the Auto badge in the list. From then on the report shows the contact’s name. Unlink, the small button beside it, removes the link from the report; the contact stays in the Catalogue.

Mentioning a contact in notes

In a visit note or the patient’s history, type @ followed by at least two letters of the name. healcraft lists the contacts that match. Pick one and it goes into the text as a small chip.

If nobody matches, the list offers to add the name you typed, for example Add "Papadopoulou". That opens Add contact with the name filled in, and after Save the chip goes in where you were typing.

Click a chip to see the contact’s phone numbers and email, with View in catalogue to open the Catalogue page.

Every Doctor contact you mention in a patient’s notes appears in that patient’s Multidisciplinary team: open Profile in the At a glance column of the chart’s Overview. The icon and colour you gave the contact show there and on its chips.
