Patients

Find a patient, see who is coming in today, add someone new and open their chart. Everyone on the team can do all of this.

The patients list

Open Patients in the sidebar. The three buttons beside the search box choose which patients you see. The page opens on Today the first time, and after that on the view you used last on that computer.

Today
Everyone with an appointment today, in time order. The number beside it is how many.
Recent
Every chart that anyone in the practice changed in the last seven days, the latest change first.
All
Every patient, in alphabetical order by surname. More load as you scroll. The number beside it is how many patients the practice has.

The two small buttons on the right switch between a table (the list icon) and cards (the grid icon). Cards are the default, and your choice is remembered on each computer separately. On a phone the patients always show as a simple list.

Finding a patient

Type in the search box at the top. On a computer the cursor is already there. The search starts after two letters and looks at:

  • The surname, first name and father’s name. Accents make no difference.
  • The AMKA, from its first few digits.
  • Phone numbers, from their first few digits, with or without +30.

Up to 25 matches show, the best first. If you see 25, type a little more to narrow it down. Clicking Today, Recent or All clears the search.

In All, a row of letters sits under the search box. Click one to jump to the surnames that start with it. Letters with nobody under them are greyed out. The list carries on past that letter, so you can keep scrolling. When the jump starts the list at that letter, a line above it says so, and Show from the start brings back the names before it. When healcraft is in Greek, or the practice is in Greece, the row shows the Greek alphabet, led by A–Z for names written in Latin letters. On a phone the letters run down the right edge.

Reading the list

Each view has its own columns, and on a narrow screen the less important ones drop out. In Today, Recent and search results, click a column heading such as Patient or Next visit to sort by it, and click again to reverse. All is always alphabetical.

In Today, the Status column says where each patient stands:

Now
The appointment is happening right now.
Next
The next patient of the day. Only one patient is marked this way at a time.
Later
Coming later today.
Done
The appointment is over.
No-show
Marked on the calendar as not having come.

Next visit shows the patient’s next booked appointment, or None booked. In Recent, Changed says when the chart last changed and what was done.

Click anywhere on a row or a card to open the chart. The phone number is the one exception: on a phone or iPad, tapping it calls the patient.

Adding a new patient

  1. Press New patient at the top right of the page.
  2. Fill in the First name and Last name, and the Father's name if you have it.
  3. Type the AMKA, or tick Patient has no AMKA (see the next section).
  4. Choose the Gender.
  5. Add at least one Phone or an Email. Add phone gives you another number, each marked Mobile, Home or Work.
  6. Add the address and an Emergency contact (optional) if you have them. An emergency contact is kept only if it has a name.
  7. Press Save. healcraft opens the new patient’s chart.

You must fill in the first and last name, the gender, the AMKA (or the no-AMKA tick) and a phone or an email. If something is missing, a red line above the buttons says what.

The form does not ask for a date of birth. healcraft works it out from the AMKA, and you can change it later in the patient’s profile.

You can also add a patient while booking an appointment, by choosing New patient in the appointment form. The patient is created when the appointment is saved.

AMKA, or no AMKA

The AMKA box takes digits only. healcraft checks that the number has exactly 11 digits and that no other patient in the practice has it. It does not check the number with any outside registry.

The number does not have 11 digits.
A patient with this AMKA already exists
Someone in the practice already has this AMKA. Search for the number to find them instead of adding them twice.

For a patient who has no AMKA, for example a visitor from abroad, tick Patient has no AMKA. The AMKA box is replaced by Note (optional), where you can write why. You can add the AMKA later from the patient’s profile, and the date of birth then follows it.

Opening a chart

Click a patient in any view, or in the search results, to open their chart. The chart has a guide of its own.

The strip at the bottom of the page, Recently accessed, lists the charts you opened on this computer. Click a name to go straight back. To take a name off the strip, point at it and click its small cross. The brush at the end (Clear all) empties the strip after asking. The strip is yours alone, and clearing it changes nothing in the charts.

Changing or deleting a patient

A patient’s details are changed from their chart. Click the patient’s name at the top of the chart to open Patient profile, then press Edit. Here you can also fill in the Date of birth, the Insurance fund and Notes. Press Save when you are done. A patient must always keep at least a phone or an email.

Delete patient, next to Edit, asks you to type the patient’s full name to confirm. The patient disappears from every list at once, and is deleted for good, with all their records, after 30 days. The message that appears afterwards has Undo, in case you deleted the wrong person.
