Settings and your account

Your profile, picture and signature, the team, theme and language, and the practice-wide settings the owner looks after. Everyone opens Settings from the avatar menu; which pages you see there depends on your role.

The avatar menu

Your picture sits at the bottom left of the sidebar. Rest the mouse on it to see your name and email, or click it to open your menu:

  • Settings opens Account & Billing, where your profile is. The other Settings pages are listed down the left.
  • Guides opens these guides in a panel on the right, starting with the guide for the page you are on. The panel stays open while you work; close it with the X at the top or with Esc.
  • Feedback sends a bug or an idea to the healcraft team. Leave patient names and personal details out of it.
  • Dark mode (or Light mode) changes the look on this device only.
  • Ελληνικά (or English, when healcraft is in Greek) switches the language.
  • Sign out asks once more before it signs you out.

On a phone, tap More, the last tab at the bottom of the screen. The sheet that opens lists Settings with the other sections, then Guides, Feedback, the theme, the language and Sign out.

Who sees which pages

On a computer, the Settings pages are listed down the left. On a phone, Settings opens a list of them grouped under General, Practice and Clinical; tap one to open it. Which pages you see depends on your role:

Owner
The person who created the practice. Sees every page, and is the only one who changes the practice-wide settings, manages the team and billing, and can close the practice.
Doctor
Sees Account & Billing, Themes & Language and Consent, plus Google Calendar to connect their own calendar. The Appointments calendar guide explains that page.
Everyone else
Secretaries, nurses, assistants and others see Account & Billing (their profile and the team), Themes & Language, and Consent, where they can read the consent form.

Your profile, picture and signature

Your profile is at the top of Account & Billing. Fill in First name, Last name, Title, Specialty and Registration number, then press Save.

Your picture is what colleagues see beside your name, for example in the team list. It saves as soon as you choose it, without Save:

  • Change photo takes a JPEG, PNG or WebP image of up to 10 MB. Drag and zoom to frame it, then press Save photo.
  • Choose an icon gives you a healcraft drawing instead of a photo. For you, at the top, offers a woman and a man drawn for your specialty or role; below them come more faces, by specialty, for the team and for anyone, then drawings of specialties, the practice and symbols. Pick a Drawing and a Colour for the circle behind it, then press Save icon.
  • Remove takes the picture away.

Under Signature block you set what prints at the foot of every report you sign:

  • Signature image: press Draw, sign in the box with a finger, a stylus or the mouse, and press Save (Clear starts again). Or press Upload to use a scanned signature, a PNG or JPEG under 1 MB.
  • Lines: the text under your signature, one line per row. It saves when you click outside the box. Left empty, reports print your title and name, your specialty and your registration number from the profile above.

A report prints the signature of the doctor chosen under Signed by, so every doctor sets up their own.

The team

Team, further down Account & Billing, lists everyone in the practice with their role. The counter beside the heading, for example 2/5 seats, shows how many of the plan’s seats are taken.

To invite someone (owner only):

  1. Press Invite member.
  2. Type their Email and choose their Role. It starts on Secretary.
  3. Press Send invite.

They receive an email with a link to create their account and join the practice. Until they do, the invitation waits under Pending invitations, and the X beside it cancels it. A pending invitation holds a seat too, so once people and invitations fill every seat, Invite member turns grey and Seat limit reached appears.

The role is Doctor, Secretary, Nurse, Assistant or Other. Only Doctor changes what someone can do: doctors can connect a Google Calendar and can be chosen under Signed by on a report. The owner changes a role from the list on that person’s row, and it saves at once.

To remove someone, the owner presses Remove on their row and confirms. They lose access straight away, move to Former members, and their seat is free again. Anyone other than the owner can also leave on their own with Leave practice, and they too lose access at once.

Theme and language

Open Themes & Language in Settings:

  • Theme: Light, Dark, or System to follow the device’s own setting.
  • Color theme: the palette for light mode and, separately, the one for dark mode.
  • Language: English or Ελληνικά. The one in use has a tick.

The theme and colours are kept on each device separately, so the reception computer and your phone can look different. Dark mode and Ελληνικά in the avatar menu are the quick way to make the same changes.

The practice’s settings

These pages belong to the owner and apply to the whole practice. Everyone else can only read Consent.

Practice profile
On Account & Billing: the practice’s name, phone and address, used on documents and in invitation emails. Press Save changes when you are done.
Appointments
Working hours, the default view and visit length, appointment types and day event names. The Appointments calendar guide explains each one.
Reports
The Letterhead printed on every issued report, either Built here from a logo and header lines or Own stationery from a PDF or image, with footer lines, margins and a live preview. It saves as you type. The same page holds the Exam templates that New report fills in, and the Fields they are made of.
Labs
Saved lab views shared by the practice, Lab ranges & values that flag results outside the reference range, the Learned names healcraft has picked up from your reviews, and the Antibiotics list for cultures.
Clinical
The Chart sections that history and visit notes are built from, the quick Findings a visit can record, and the Diagnoses & conditions labels.
Consent
The Consent form patients read and sign, and under Devices the tablets paired to show it to patients. Saving the form publishes a new version; forms already signed keep the text the patient signed.
Medications
Drug names decides whether the active substance or the brand name comes first, everywhere in healcraft. Medication categories are the colour-coded groups on the chart.
Vaccines
The list offered when you record a vaccination. Drag to reorder, untick to hide, or add your own.

While the letterhead is empty, reports print the practice name from the Practice profile. Once it has its own Header lines, those print instead, so if the practice moves or changes phone, update both.

Plan and billing

Only the owner sees billing. Under Current plan on Account & Billing you find the plan’s status, the Next billing date, and how much of this month’s AI documents and Seats are used.

  • Manage billing opens the secure payment page, where you switch between the Practice and Pro plans or change the payment method.
  • Until the practice pays for a plan, a second box lists the plans, monthly or yearly, each with Get started.
  • AI usage this month counts the lab documents healcraft has read for you this month, with an estimated cost.

If the plan lapses, the practice becomes read-only: everyone can still open and export records, but nothing can be changed until the owner subscribes again.

Exporting records and closing the practice

healcraft has no button that exports the whole practice at once. You export one patient at a time, from their chart:

  1. Open the patient and press Export record, the share button at the top of the chart. On a phone it is in the menu with three dots.
  2. Tick what to include.
  3. Tick The patient has consented to sharing this record, then press Export.

The file downloads to your device; healcraft does not send it anywhere. Exporting keeps working when the plan is read-only.

Only the owner can close the practice. At the bottom of Account & Billing, under Danger zone, type the practice’s name exactly as it is written and press Close practice. The subscription is cancelled at once and the practice becomes read-only for everyone, with a banner showing the date it will be deleted. For 30 days you can still open and export records, and the owner can undo the closing with Reactivate practice on that banner.
