My Issues

The practice’s tasks and lab reviews in one place: create and assign tasks, set due dates and reminders, finish them, and check the lab results healcraft has read. Everyone on the team can use all of it.

The board and the list

Open My Issues in the sidebar. The number beside it counts every unfinished task and every waiting lab review in the practice. The page opens on the board, or on the view you used last on this computer.

The menu at the top left chooses what you see. It starts on Today every time you open the page.

Today
Tasks with no due date, tasks due today or already late, later tasks whose reminder time has come, and the lab reviews that are waiting.
Assigned to me
Only the tasks assigned to you. Lab reviews belong to nobody, so they do not appear here.
Unassigned
Tasks nobody has taken yet, together with the lab reviews.
All
Everything open in the practice, whenever it is due.

The board has three columns, To do, In progress and Done, with Reviews down the right edge. Drag a card to another column to change where it stands. In each column late tasks come first, then high priority, then the newest.

The two icons beside the menu switch between the board and a list. The list shows open tasks and reviews together, late ones first, with a coloured edge on tasks that are late or high priority. Finished tasks are not in the list.

Type in Search tasks to find a task by its title, notes, patient or the person who holds it. The search looks only inside what the menu shows. If Today is hiding what you want, press Search all tasks.

Reading the cards

Each card shows the task’s title, the patient (or No patient), when it was created, who holds it, and its labels. Rest the mouse on a card to read its notes in full, and click it to open the task.

Today, Tomorrow or a date
When the task is due, with the time if it has one.
Red, with an exclamation mark
The task is late.
A bell beside the date
A reminder is set.
No due date
The task has no deadline.
High, Low
The priority. A normal priority shows no label.
Small team icon
Nobody holds the task yet, so anyone on the team can take it. Otherwise you see the photo or initials of the person who holds it.
Dot before the title
The task was newly assigned to you and you have not opened its notification yet.

In Done, a card’s title is crossed out and a green Completed label says when it was finished.

Creating and assigning a task

  1. Press New task at the top right. You can also choose New task from the New menu on the dashboard, or press Ctrl+K (⌘K on a Mac) and pick New task.
  2. Fill in the Title. It is the only thing you must fill in. Add anything useful under Notes.
  3. Under Assignee, pick who should do it. Leave it empty, or choose Unassigned, and anyone on the team can take it.
  4. Change the Priority if it is not Normal, and set a Due date if there is one. The next section explains dates and reminders.
  5. To link the task to a patient, search for them under Patient (optional).
  6. Press Create task.

Point at the To do or In progress column and a + appears at its foot. It opens a new task that starts in that column.

A task linked to a patient also shows in that patient’s chart, and Open chart beside the patient field takes you there.

The person you assign gets a notification in their bell straight away. If you later choose someone else, the new person is notified. To change anything, click the card, make your changes and press Save.

Due dates and reminders

Pick a Due date, and fill in the time beside it if the task has a set hour. The time box stays off until a date is chosen, and clearing the date clears the time.

Once there is a date, a reminder menu appears under it, starting on No reminder. Choose when you want to be reminded:

On the due date
At the due time, or at the very start of the day if the task has no time.
1 hour before, 1 day before, 1 week before
That long before the due time. For a task with only a date, the count starts from the beginning of that day, so 1 hour before means 23:00 the evening before.

The reminder goes to the person who holds the task, or to whoever created it if nobody does. It appears in two places: a pop-up at the bottom of the screen for a few seconds, with Open and 1 hour to put it off, and a Reminder due entry in the bell. The bell keeps counting it until you answer: Snooze brings it back after 10 minutes, 1 hour or Tomorrow, and Dismiss turns it off for good. Completing the task clears it too.

healcraft checks for reminders every 15 minutes, so one can arrive up to a quarter of an hour late. Reminders stay inside healcraft: no email or text message is sent.

When its reminder time comes, a task due on a later day also joins Today. If you move the due date, the reminder moves with it. If you remove the date, the reminder goes too.

Tasks with a due date also appear on the Appointments calendar, where you can move them to another day. The calendar guide explains how.

Finishing a task

Finishing a task is always a deliberate step, so a stray click can never complete one. There are two ways. From the task itself:

  1. Click the task to open it.
  2. To leave a record, turn on Add a note and write what you did or what came back under Completion note (optional).
  3. To tell a colleague, press the bell beside it (Notify) and check who it goes to. It starts on the practice’s doctor; choose someone else if needed.
  4. Press Complete.

Or drag the card into Done on the board. This completes it without a note. When you want to add a note or tell someone, open the task and use Complete instead.

Either way, a Task completed pop-up appears for a few seconds. The colleague you notified sees the task in their bell with your note, and unread in the Done list of their dashboard. If the task is linked to a patient, it also stays in that patient’s chart among their completed tasks.

Notifications

The bell sits at the bottom left of the sidebar, next to your photo. On a phone it is at the top of the screen. The red number counts what is waiting for you: tasks newly assigned to you, reminders you have not answered, and finished tasks colleagues have told you about.

Notifications opens on Unread. All also keeps the ones you have already read, dimmed.

A colleague finished a task and told you about it. Their note is shown under the title.

Click a reminder or a new assignment and the task opens right where you are, without leaving the page. Clicking a finished task marks it read. The check mark on an entry (Mark read) marks it read without opening it, and Mark all read at the foot does the same for every assignment and finished task. Reminders wait for your answer.

Lab reviews

When someone uploads lab report files to a patient’s chart, healcraft reads them. While it reads, the Reviews list on the dashboard shows Reading lab reports… with its progress. When it has finished, a Lab review appears, on the dashboard and in Reviews at the side of the board, with the patient and the number of files.

A review belongs to nobody, and anyone on the team can do it. Click it to open Review extracted results, compare what healcraft read with the files, and then save the results to the patient’s chart or discard them. Either way the review leaves the list and goes to the Archive, marked Confirmed or Discarded.

A review nobody handles within 7 days of the upload expires: it is marked Expired and the uploaded files are deleted. Reviews cannot be dragged or discarded from the board; they are closed only on their own review page.

Press Hide reviews at the top of the side column to fold it into a flask icon with a count, and click the icon to open it again. The board remembers this on each computer.

Archive and clean-up

Finished tasks wait in Done until they are archived. Every night healcraft moves the whole column to the Archive by itself, so each day starts with Done empty. You can also archive sooner:

  • The archive icon on a finished card (Archive) files that one task.
  • Clear at the top of Done asks Archive all completed tasks? and files them all when you press Archive all.

To drop a task you no longer need without finishing it, discard it. The X on a card, which appears when you point at the card, asks Discard this task? first. Discard inside an open task acts at once, with Undo on the Task discarded pop-up.

The Archive button at the top right shows everything archived in the last 7 days, with tasks and reviews in two columns. Finished tasks are marked Completed and discarded ones Deleted. The circular arrow (Restore) puts a task back in To do.

On a phone or tablet

  • On a phone the board shows one column at a time. Tap To do, In progress, Done or Reviews at the top; each shows how many cards it holds.
  • Cards cannot be dragged on a phone. Tap the ⋯ on a card (Task actions) and choose a column under Move to, or Discard or Archive. Moving a card to Done completes it.
  • New task is the round + at the bottom right. Search hides behind the magnifier, and the Archive sits with the view icons.
  • On a tablet, press and hold a card for a moment, then drag it. The ⋯ menu is there too. When the tablet is upright, the reviews stay folded into the flask icon: tap it to see them.
